What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Your contact information

If you contact us by our email contact form, you will provide your name and email address. We will use these details in order to reply to your enquiry but will not store these details for any other purposes.

If you sign up for a course of treatments or classes, online or in person, we will ask you to provide further information as follows: Sunfish Yoga and Therapy Ltd. gathers and holds certain information about clients, including name, date of birth, address, telephone numbers and email address, together with health and wellbeing information relevant to services being provided. You may of course choose which personal information you share with us, but we may be unable to offer treatment and / or classes if we do not hold sufficient information to provide services safely for you.

Additional information

Contact details will be used to contact you in the event of treatment and / or class changes, or when a space becomes available where a waiting list has been in place.

We do not recommend sending medical information by email as this is not a safe mode of transmission. Instead you can either return your forms directly to Sunfish Yoga and Therapy Ltd by hand or by post.

Enquiries sent via my contact form will be responded to via the email address provided. If you then wish to be added to a class or waiting list, or to book a treatment, your contact details will be used solely for managing this booking and subsequent service. Your details will not be used for further marketing unless you give your consent for this.

If you would like to join our mailing list via the sign up form, you will give your permissions for contact during the sign up process and you may unsubscribe at any time.

How we protect your data

Handwritten forms collected from you, together with notes from treatment sessions and classes attended, are held securely in locked filing cabinets, and are only accessed by teachers and therapists working directly with you. Medical notes are retained in accordance with legal and insurance requirements, in most cases for 7 years following last treatment / class, and for 7 years past maturity in the case of child treatments (to age 25 for children up to 16, and to age 26 if a child is treated at age 17) and for classes / treatments provided during pregnancy.

Industry regulatory disclosure requirements

As for all close contact services in the current situation with Covid-19, we are required to maintain a track and trace document so that all clients who have visited our studio can be contacted in the event that someone tests positive for Covid-19. This document is continually maintained and your details will only be held on this document for the time required by law.
